Terms & Conditions

Glaudax Cycle Tours LLP

Please read this section carefully. It explains what is required of you (the Client) and what you can expect from us (Glaudax Cycle Tours) and is designed to be fair in protecting the interests of both parties. In completing and submitting the booking form, you agree to be bound by these conditions which constitute the agreement between you and us. These conditions apply to the exclusion of any others unless they are set out in the booking form or are otherwise agreed to in writing by the parties. Bookings with Glaudax Cycle Tours are accepted only in accordance with the terms and conditions set out below.

PRICE

  • Includes everything listed on the tours page and is based on two adults sharing a room and luggage transfers.

  • A supplement applies to clients wishing to book single room accommodation (subject to availability).

  • A solo client may request to be paired up with another solo client of the same gender to share twin room accommodation. If we are unable to pair you up, we will place you in single room accommodation (subject to availability) and you will be liable to pay the single room supplement.

  • UK tours – we guarantee that the price of your tour will not change once you have paid your deposit and we have confirmed the booking to you in writing unless you request to add another element to your booking. With the above exception, we reserve the right to increase or decrease our prices at any time.

  • European tours – the price of your tour may change after you have booked, for example as a result of changes to exchange rates relevant to your booking. However, there will be no change to the price of your booking within 20 days of your departure unless you request to add another element to your booking. We will absorb any increase equivalent to up to 2% of your tour price. We reserve the right to charge for any amount over and above that. If that results in an increase of more than 10% of the price of your tour, you will have the option of changing to another tour if we are able to offer one (we will refund any price difference if the alternative is of a lower value), or cancelling and receiving a full refund of all monies paid less any amendment charges. Notwithstanding the above, we reserve the right to increase or decrease our prices at any time.

 

PAYMENT

  • £200 non-refundable deposit payable at time of booking payable by bank transfer or credit/debit card

  • Your booking is not confirmed until we have received your deposit and your completed booking form

  • Full balance: payable 2 months before tour start date

  • Your booking may be cancelled if we do not receive your balance of payment by the due date

 

CANCELLATION BY YOU

If you want to cancel your booking we must receive an email from the person who made the booking. Refunds are calculated as a proportion of the total cost of your booking and apply with effect from the date we receive your email:

  • More than 12 weeks before the tour start date: full refund less deposit

  • 8-12 weeks before the tour start date: 50% refund

  • Less than 8 weeks before the tour start date: no refund

 

CHANGES TO YOUR BOOKING

 

  • If you want to make any changes to your booking we must receive an email from the person who made the booking.

  • If you want to change your booking to another date this is regarded as a cancellation and the cancellation charges will apply.

  • If you want to transfer your booking to another person, that person must satisfy all the conditions that apply to the booking and must complete the declaration confirming this. In some instances it may not be possible to transfer the booking. For example if the original booking was for twin accommodation as a solo traveller but the new client is not of the same gender and/or wishes to have single room accommodation, this will be subject to availability and, if required, to payment of a single room supplement. In all cases, a charge of £50 will apply to any transfers of bookings to another person. Both you and the new client will be jointly and severally liable to Glaudax Cycle Tours for the price of the tour, the transfer charge and any additional costs in connection with the transfer.

CANCELLATION BY US

If we have to cancel a tour, for example due to Covid-related issues or where the minimum number of 8 participants has not been reached, we will offer alternative tour dates or make a full refund. We will not cancel a tour except for unavoidable and/or extraordinary circumstances the consequences of which neither we nor our suppliers could foresee or avoid, even after taking all reasonable care.

CANCELLATION DUE TO FORCE MAJEURE 

Examples of this include, but are not limited to, war or threat of war, riots, civil strife, terrorist activity or the threat of terrorist activity, biological warfare, industrial disputes, mechanical failure, natural or nuclear disaster, illness and disease (for example Swine Flu, Avian Flu, SARS or Covid-19), fire or adverse weather conditions, level of water in rivers or other similar events beyond our control. Unless where otherwise stated in these conditions, we will not pay compensation, cover any loss or accept responsibility if you or we have to change or cancel your booking for force majeure reasons. Please ensure that you have travel insurance to cover these events as recommended on the FAQ page.

 

Should you contract an infectious disease while on holiday neither Glaudax Cycle Tours not its suppliers can be held liable (gross negligence excepted).

COVID-19

Both Glaudax Cycle Tours and its clients acknowledge the ongoing Covid-19 pandemic and accept that both we and you are obliged to comply with official guidance and laws from government or local authorities in the UK. If you have to cancel or curtail your tour due to anything connected with Covid-19 our standard cancellation charges will apply. You may be able to claim for any losses through your travel insurance provider. In the event of curtailment it is your responsibility and not that of Glaudax Cycle Tours to make any necessary arrangements, although we will endeavour to help you to the best of our ability. If we have to cancel a tour due to anything connected with Covid-19 we will make a full refund of the payments you have made for your tour.

 

ACCOMMODATION

All accommodation is arranged through third party providers and Glaudax Cycle Tours cannot be held liable for any damages, losses or inconveniences resulting from them. If any problems should arise we will try and deal with them promptly. The cost of the tours is based on accommodation in shared twin-bedded or double rooms. A single room supplement is payable by those requiring their own room and is subject to availability. While every effort has been made to select accommodation of a good standard, your booking is accepted on the understanding that the standard of accommodation varies from place to place. Please note that the hotels listed are subject to change anytime before the tour departure date. This may necessitate route modifications but will not fundamentally alter the nature of the tour.

YOUR RESPONSIBILITY

Bookings are accepted on the understanding that you are normally in good health and that you have a good level of cycle fitness as outlined under the training heading on the Prepare page. If you have any doubts, please contact us to discuss. You also understand and accept the inherent risks involved in undertaking a road cycling tour. In the interest of safety we recommend that you follow the Glaudax tour route and guidance that we provide to you, and you must comply with the Highway Code (Code de la Route in France) and act sensibly and prudently at all times. If you have any medical conditions, allergies or special dietary requirements you must inform us at the time of booking. We will endeavour to pass on any dietary or special requests to our suppliers but cannot guarantee that they will be able to meet your request.

 

OUR LIABILITY

Glaudax Cycle Tours has a duty of care to its clients but are only liable up to the cost of your trip with us. We cannot be held responsible for damage to and/or loss of your personal possessions. We are also not liable for failure in carrying out the contract if the failure is due to the action of the participant or the action of a third party. We are also not liable for any theft or damage to bicycles or injury to you which occurs as a result of cycling or in transit.

YOUR LIABILITY

You will be liable for any costs you incur at the accommodation booked for you by us. This includes but is not limited to damage caused by you, fines incurred due to you smoking in rooms, unpaid bills for food or drinks ordered by you or for the contents of a mini-bar.

GLAUDAX RESCUE SERVICE

The rescue service will apply anywhere on each day’s Glaudax route as supplied by us. We cannot guarantee that we will rescue you if you are off this route or have not departed for a day's stage by 09:30 (except stage 6 of the Tour de Normandie). In these cases, if we are able to rescue you a minimum charge of £50 will apply.

WEATHER

We shall not be held responsible for any loss, delay or costs whatsoever connected with adverse weather conditions. 

 

COMPLAINTS

If you have any complaints about our services during your tour you should notify us as soon as possible and we will endeavour to put the matter right. Any ensuing complaints should be notified by email within 28 days of the end of your tour. We will investigate the matter and respond in writing within 28 days of receipt of your written complaint. 

WEBSITE ACCURACY

We make every effort to ensure the accuracy of the information and prices on our website but errors may occur. Additionally, the information and prices shown on our website may have changed by the time you book your tour. Please therefore ensure that you check the price and all other details at the time of booking. 

 

WEBSITE POLICY

The web design including all artwork, photos and graphics are the copyright of Glaudax Cycle Tours and reproduction of any of the content of this website in any form is not permitted without our written consent.

 

PRIVACY POLICY

We take your privacy very seriously and are committed to protecting your personal information. We will not pass on your personal details to any third party without your permission except for the purposes of organising your trip.
